The award-winning team at GGLO, a collaborative design firm, seeks a Project Administrator for our Seattle office to support our work in multiple locations, disciplines, markets, and project types.

About the Role

The Project Administrator’s primary responsibility is to assist the project team with the efficient implementation of administrative tasks for the orderly and timely progress of the project work.

Essential Duties and Responsibilities

· Coordinate and implement project administrative activities, manage assignments, monitor progress and communicate to the project team

Perform project related tasks as requested by the Project Manager, including but not limited to assisting with preparing action plans and supporting the project administrative needs

Help the project meet quality standards, deliver on time, and within budget

· Assist with development of project deliverables

Generate and control meeting agendas and minutes, and distribute deliverables using Newforma software

Develop and maintain project logs

· Distribute project documents

· Develop narratives for project submittals or reviews

· Maintain project directory

Assist with planning through the entire scope of a project

Create weekly workflow reports to illustrate team assignments and needs

Order resources as requested by team leads

Track expenses and work on budget forecast

Alert the Project Manager to administrative project issues as they arise

· Facilitate project communications

Foster positive relationship with project stakeholders

About You

· Motivated self-starter

Knowledge of AEC industry are helpful but not required

· Two years of related experience

· Knowledge of project management, flowcharts, technical documentation, etc.

· Ability to anticipate project requirements and communicate possible solutions

· Strong communication skills

· Team player who is organized, focused, and deadline-driven

Recent college graduate or current architectural student preferred

Technical experience in Procor, Deltek Vision or Deltek Vantage, Bluebeam and Revisto desired and Newforma a plus


· Design, engineering or construction background

· Proficiency with Microsoft Office Suite
